Work with vendors and attached cabs

Updated 7 November 2026

A vendor is anyone you deal with who is not a customer: another operator who runs jobs for you, a travel agent who sends you work, a fuel pump or a garage. When a vendor's cab runs your booking, TripSetu works out what you owe them and keeps their account.

Add a vendor#

Open Vendors and press New vendor. Choose the type: Travel agent, Sub-contractor, Fuel pump, Garage or Other.

Add an attached cab#

An attached cab belongs to someone else but you dispatch it.

  1. Open Vehicles and press New vehicle, or open the cab.
  2. Set Ownership to Attached or Leased.
  3. Under Belongs to, choose its owner. Only sub-contractors and travel agents can own a cab.
  4. Press Save vehicle.

From then on, any booking with that cab is run by that vendor. Run by vendor is set by the vehicle, and Who runs it shows the owner. Enter their driver's name and phone on the booking. The booking cannot be marked assigned without the driver's name.

Set what a vendor charges you#

  1. Open Settings > Vendor rates and press New vendor rate.
  2. Choose the vendor, the vehicle type and how they charge, with the same packages as your own rate cards.
  3. Fill in their prices, set the date it starts from, and press Save vendor rate.

On the booking, pick the vendor's card under Vendor rate card. Vendor quoted fare records the total they quoted you on the phone, for reference.

What you owe for a trip#

When a vendor's trip is completed, its Vendor charge is worked out from the vendor's rate card. To use a figure of your own, type it in Vendor charge. Clear it and save to work it out from the card again.

If the vendor paid a cost on the trip, such as a toll, add it to the trip and tick Charged by the vendor. It is added to what you owe them, on top of their rate card charge.

Settle a vendor's account#

Vendor payables lists what you owe each vendor: the trips they ran for you and their costs you have not settled, less what you have paid.

  1. Open the vendor.
  2. Under Account, press Record a payment.
  3. Choose Payment for money you paid them, or Credit or discount for something they took off the bill.
  4. Fill in the amount, date and how it was paid, and press Save entry.

Jobs sent by an agent#

On a booking an agent sent you, choose them under Sent by an agent and fill in Agent commission, what you owe them for the job.
