From booking to trip
How a TripSetu booking becomes a trip, what each booking status means, and why billing works from completed trips.
A booking is the job a customer asked for: when, where, which car and at what fare. A trip is the run that actually happened: when it started and ended, the meter readings and the distance. You bill from trips, because the trip is what you can prove.
The booking's statuses#
| Status | Means | Next step on the booking |
|---|---|---|
| Enquiry | Asked, not agreed | Confirm or Cancel |
| Confirmed | Agreed with the customer | Mark assigned once a vehicle and a driver are chosen |
| Assigned | Car and driver are set | Start trip |
| Running | The trip has started | Complete the trip |
| Completed | The work is done | Bill it |
| Cancelled or No show | Did not run | Nothing. You type a reason first |
A booking cannot be marked assigned until it has both a vehicle and a driver. If another operator runs the job for you, choose them under Who runs it, and enter their driver's name instead.
Starting a trip#
Start trip on a booking opens a new trip already filled from the booking: vehicle, driver and times. Fill in Started and the Opening reading, and press Start trip. The booking moves to Running.
Completing a trip#
Open the trip from Trips. Fill in Ended and the Closing reading, set Status to Completed, and press Save changes. The booking moves to Completed with it.
TripSetu works out the distance from the two readings. If you only know the distance, type it in Distance instead.
Nights away is a count of nights (0, 1, 2), never an amount of money. Each night bills the rate card's night charge.
A booking cannot be completed from its own page while one of its trips is still running. Complete the trip first.
Trips without a booking#
You can press New trip on Trips and leave it Not against a booking, for example to record a run you forgot to book. It still counts for the vehicle and driver, but it cannot be billed until you link it to a booking with a customer.
Who pays#
A booking's Bill to decides how the trip is paid for:
- Direct: the rider pays on the day. These trips are not invoiced.
- To a company account: the trip goes on that company's invoice.
