Track vehicle documents and maintenance

Updated 7 November 2026

An expired permit at a state border is a stopped trip. TripSetu keeps every cab's papers with their expiry dates and warns you before they lapse.

Add a vehicle's documents#

  1. Open the cab under Vehicles.
  2. Press Add a document and choose the Document: Insurance, State permit, National permit, Tourist permit, Fitness, PUC, Road tax, RC or Other.
  3. Fill in Expires on, and the number, issue date and cost if you have them. For a state permit, choose the state under Issued by. Each state's permit is kept separately.
  4. Press Add document.

When you renew a document, add the new one with its new expiry date.

See what is expiring#

  • The Dashboard lists papers that are Expiring or already lapsed, for cabs and for drivers' licences.
  • The Vehicles list shows each cab's soonest expiry.

How far ahead you are warned is set in Settings > Company, on the Fleet tab, as Document expiry warning, in days. Enter each driver's licence expiry under Valid until on the driver.

Log a service or repair#

  1. Open Maintenance and press New maintenance.
  2. Choose the Vehicle and the Kind of work, and fill in the Odometer and the Garage.
  3. Fill in Went in, and Came out once it is back. Leave Came out blank while it is still in the garage.
  4. Fill in What it cost.
  5. Under Next one due, set By date, At odometer, or both. At odometer is the reading itself, not a distance from now.
  6. Press Save maintenance.

Add the garage under Vendors first to pick it here.

Maintenance in your profit#

Maintenance cost counts against the cab in By cab on Payments & P&L. See See which cab makes money.
