See which cab makes money

Updated 7 November 2026

TripSetu shows a margin on every trip: what it bills, less what it cost. Payments & P&L adds those up for the period, and By cab shows which vehicles earn their keep.

Record what a trip cost#

  1. Open the trip and find What it cost.
  2. Press Add a cost. Choose the Head, such as fuel or toll, and fill in the Amount and Spent on date.
  3. Choose Paid how and Paid by: the driver out of his own pocket, the office, or the customer directly.
  4. Tick Bill to customer if the customer should pay it back. It is added to their invoice at cost as its own line. Left unticked, it is only your cost.

A cost the driver paid out of pocket is owed back to him. Expenses lists every cost across your trips, and shows what is owed back to drivers.

On a trip a vendor ran, tick Charged by the vendor if they paid the cost and will bill you for it. It is added to what you owe them.

How a trip's margin is worked out#

The margin is the trip's billed amount less its costs: the costs you recorded, the driver's earning on the trip, and the vendor's charge if a vendor ran it. A trip with no fare and no rate card has no margin to show until it is linked to a booking.

Fuel without a bill#

Most trips have no fuel bill. TripSetu estimates the fuel from the distance, the cab's Average km per litre and your price in Settings > Fuel prices. An estimate is always marked as an estimate.

Whether estimated fuel counts in your margins is your choice: tick Count estimated fuel in margins in Settings > Rules. A trip with a real fuel cost recorded always uses the real figure. Set a price for every fuel your cabs use, or those trips get no estimate and look cheaper to run than they are.

CNG is priced per kilogram and electric per kWh, so for those cabs the mileage is km per kg or per kWh.

Compare your cabs#

Open Payments & P&L and press By cab. For the period, each cab shows what it billed, its running cost, driver earnings, maintenance, margin and cost per km. A cab that ran nothing is named, because an idle vehicle is still a cost.

Costs that belong to no single cab are shown below the cabs, not spread across them: driver salaries, and work done by a vendor's cab and driver.

Billed is not collected#

Payments & P&L shows what was billed and what was collected separately. The gap is money your customers still hold. See Get paid and chase what is owed.
