Pay your drivers and settle advances

Updated 7 November 2026

Drivers' pay keeps a running account for each driver: what he earned, less what you paid him and what he drew in advance. The sum is spelled out line by line, so you can settle it with the driver standing there.

Set how a driver is paid#

Open the driver under Drivers and fill in the Pay section:

How he is paidWhat you fill in
Fixed salaryMonthly salary
Per trip onlyIncentive on (per trip, per kilometre or a share of the fare) and Incentive rate
Salary + incentiveBoth

Per diet charge is paid for every day he is out on a trip, and Per night charge for every night away, on top of his pay. They count on completed trips in your own cabs.

When a rate changes, set Rates apply from. Trips before that date keep the old rate. The Rate history under it shows every rate and its date.

Read a driver's account#

Open Drivers' pay and choose the period. Each driver shows one figure:

  • You owe: money due to him.
  • Drawn ahead: he has taken more than he has earned so far.

Under it are the workings: what he was owed or had drawn ahead before the period, earned on trips, diet and night charges, salary for the months in the period, then less salary paid, advances, incentives paid and deductions.

The account carries on across periods and financial years. It does not restart on 1 April.

Record a payment or advance#

  1. On Drivers' pay, press Open the account under the driver.
  2. Press Record a payment and choose What is it: - Salary: a month's pay. Fill in Which month. - Advance: money drawn before it is earned. It nets off against what he is owed. - Incentive: a bonus on top of his arrangement. - Reimbursement: paying him back for something he bought for the business. - Deduction: recovered from his pay, such as a challan or damage. No cash changes hands.
  3. Fill in the Amount, the date and How it was paid, and press Save entry.

Reimbursements are kept apart#

A reimbursement settles money the driver spent for you. It does not count against his pay, so it is shown on its own line and not in the balance. A driver who paid for fuel or tolls is never made to look overpaid.

When a driver pays a trip cost out of his own pocket, record it on the trip with Paid by set to the driver. See See which cab makes money.
