Correct an invoice you have already sent

Updated 7 November 2026

An issued invoice that has no payment against it can be reopened, corrected and issued again under the same number. Only an admin can reopen an invoice.

Reopen and correct#

  1. Open the invoice and press Reopen to correct.
  2. Type why it is being reopened, for example "Customer asked for the day-wise breakup", and press Reopen this invoice.
  3. Make the change. To price the lines again from the trips as they stand now, press Rebuild lines from trips, then Rebuild the lines.
  4. Check the total, then press Issue again as followed by its number.

The invoice keeps its number, and your series is not touched. While it is reopened it is not counted as billed or owed. It cannot be deleted, only issued again or cancelled, so the number stays accounted for.

What a rebuild changes#

A rebuild prices each trip line again from the trip, the rate card and your rules as they are today. The total can change, so check it before you issue the invoice again. Lines you typed yourself and discounts stay. The old lines and the old total are kept on the invoice's record.

Fix the trip first, for example its distance or nights, then rebuild.

Cancel an invoice#

Open the invoice, press Cancel invoice, type the reason, and press Confirm cancellation. The number stays used, because a gap in the series is what an auditor asks about. The trips stay on the cancelled invoice and are not billed again.

Cancelled by mistake? Press Reopen cancelled invoice. It comes back as a draft with its number and its trips, ready to issue again.

When money has been received#

An invoice with a payment recorded against it cannot be reopened or cancelled. If the payment was recorded by mistake, press Remove beside it under Money received, then reopen the invoice.

TripSetu does not make credit notes yet, so a paid invoice that was wrong has to be corrected outside TripSetu.
