Set your prices with rate cards
Add your packages as rate cards in TripSetu, so bookings are quoted and trips are billed the same way every time.
A rate card is one price for one package, such as local 8 hours and 80 km in a sedan. When you take a booking you pick a rate card, so nobody quotes a fare from memory, and TripSetu can bill the trip from it.
Only an admin can add or change rate cards.
Add a rate card#
- Open Settings > Rate cards and press New rate card.
- Give it a Name your office uses on the phone, such as "Local 8hr 80km".
- Choose a Vehicle type, or leave it blank to price every vehicle the same.
- Choose How it is quoted. The form then shows only the prices that package needs.
- Fill in the prices and set Effective from.
- Press Save rate card.
The packages#
| Package | You fill in |
|---|---|
| Local (hours + km) | Hours and kilometres included, a base fare, and what each extra hour and extra kilometre costs |
| Outstation (per km) | Rate per kilometre, the minimum km billed per day, driver batta per day and the night charge |
| Airport (flat) | One fare for a pick-up or a drop, whatever the distance |
| Rental (hours + km) | The same as local, for a vehicle hired out over a longer block |
| Something else | Every field, for a price that fits none of the above |
On a local package, a part hour counts as a full extra hour. Leave an extra rate blank to not charge for it.
Driver batta and night charge on a rate card are what you bill the customer. What you pay your driver is set separately, in Settings > Allowances.
Quoted fare or rate card#
A trip is billed in one of two ways, decided by the booking's Quoted fare:
- The booking has a quoted fare. The invoice bills that amount for the trip, as quoted. Extra hours and extra km are not added. Use this for a fixed price agreed in advance.
- The quoted fare is empty. The invoice prices the trip from the rate card once it is completed, using the actual hours and distance. Local trips show the package, then extra hours and extra km. Outstation trips show the kilometres times the rate, never below the minimum km per day, plus driver batta per day and the night charge per night.
Picking a card under Quoted from fills in Quoted fare with the card's starting price. If you want the trip billed on actual hours and km, clear Quoted fare before you press Save booking.
Only local and outstation cards can price a trip by themselves. Airport, rental and Something else bookings need a Quoted fare.
How a trip finds its rate card#
When the quoted fare is empty, the card picked under Quoted from is used. If none was picked, the booking's Type (Local or Outstation) is matched to a card of the same package, for the customer and vehicle type.
Changing a price#
Prices have dates. A trip is priced from the card that was in force on the day it started, so changing a price never changes a bill you have already sent.
To raise a price, add a new rate card with the same name and a new Effective from date. It replaces the old card from that date. The Period column on the list shows In force for the cards in use today.
A rate card does not price trips that started before its Effective from date. If you enter old trips, set the date early enough to cover them.
